A transport provider is responsible for an actual vehicle or staffed segment; evaluate operational fit before assuming broader case-management services.

Ask about the dispatch city, proposed date, vehicle configuration and crew confirmation for the exact route.

Ask for an operational acceptance, not a brochure

Send a bounded brief with addresses, date, patient positioning and treating-team requirements. The supplier should respond with the actual vehicle type, crew, equipment, permitted pickup and unloading points, waiting terms and escalation number for the route. A website photo of an ambulance does not establish its availability, personnel or medical equipment on a particular day. If the provider subcontracts the leg, identify who will show up and who is responsible for a failed handover. A provider of one ground leg should not be described as the owner of the overseas flight or receiving hospital.

Test the operator against the precise road leg

Give a proposed pickup address and floor or entrance, destination, date window, patient positioning and necessary equipment. Ask the actual road operator to confirm crew, vehicle, oxygen or lift capability where relevant, and the point at which its responsibility ends. This is a procurement test for a specific local service, not a general evaluation of an international case manager. A broad fleet description cannot establish that the right vehicle and staff are available for this particular journey. Clinical needs should be defined by the treating professional before dispatch.

Confirm handover and exceptions in writing

Ask the supplier who will receive the patient from the sending ward, whether it can enter that area, and where it will hand over to the airport team or destination facility. Confirm companion seats and luggage before booking, since these can alter vehicle suitability. Obtain a reachable dispatch contact and a rule for waiting, cancellation and changed flight time. The road operator may require a new assessment if support needs change. A written acceptance for one leg must not be marketed as a bed-to-bed or international transport commitment.

A final operational check

For a supplier comparison, request the same pickup floor, destination handover, support needs and companion count from each operator. Otherwise a low quote may end at the entrance while another includes assessed movement inside. Ask who will actually dispatch the vehicle and who answers a change call. These facts determine whether the road leg is usable.

Decision pathway

If several countries, airline approval and receiving hospital coordination are needed, appoint a separate case coordinator rather than assigning them implicitly to a driver.
