Airport handover coordination in China for assistance companies

For an assistance company, the China airport handover is a change in operational responsibility, not merely a vehicle pickup time.

Fix the permissible meeting point

Identify inbound carrier, flight and airport terminal, then ask the responsible airline or airport where its assistance ends. A ground supplier may meet at a public arrival area or another specifically authorised location; never promise airside access. For a dedicated aircraft, obtain the operator’s authorised handover arrangement separately. Name the person who escorts the patient from that point into the vehicle. A flight number alone does not supply a meeting point.

Continuity across interfaces

List wheelchair, stretcher, oxygen, monitoring, luggage and records at every transition. State who owns each item and whether an airline-supplied chair is returned before handover. The treating and transport clinicians determine medical support; the road team confirms it can accept. If the receiving hospital has only a gate address, obtain its department, individual receiver and arrival window before calling the route complete.

Manage irregular arrivals

A missed connection, diversion, baggage delay or medical reassessment may make the original ground assignment unusable. Set a deadline for reconfirming dispatch and hospital acceptance, and identify who authorises waiting costs. Share one timestamped plan with carrier, road provider, receiver and desk. When a party no longer accepts, stop describing the journey as confirmed. Close with a documented receiver acknowledgement and exceptions that still need action.

Write a two-language handover instruction

A case desk may issue an English global itinerary while the local vehicle team receives a Chinese dispatch sheet. Check that both show the same flight, terminal, scheduled and revised arrival, public meeting point, responsible person, mobility equipment, oxygen responsibility, destination entrance and emergency escalation number. Avoid translating a terminal name into a vague “airport pickup” description. If the flight diverts, mark the old sheet superseded and obtain acceptance from a supplier at the new airport. The operating airline or aircraft operator remains responsible for its own side of the interface. A coordination desk should record when both parties acknowledged the updated version, rather than assuming a sent email has been read.

What the buyer should ask at closure

The assistance desk should receive actual pickup time, identity of the accepting ground team, any departure delay and the receiving facility’s acknowledgement. A photo of an ambulance at an airport is not proof that the right patient and equipment reached the right ward. Ask the local coordinator to list unresolved items such as personal wheelchair retrieval or a medication bag held by a carrier. Close the airport task separately from the clinical admission and payment reconciliation, because those may complete later under different owners.

Decision pathway

Confirm carrier handover location, road acceptance and receiving facility, then issue a single movement plan. Reconfirm all affected parts after arrival changes.
