How can a family abroad arrange a patient's transfer in China?
For relatives outside China who need a reliable local contact and a clear handover plan.
Name a person who can make decisions
A relative overseas may receive updates after the China team has already reached the airport or hospital. Identify one family decision maker, one local contact if possible and the treating or receiving institution's contact. Agree the time zone and a phone or email channel that can be reached during travel.
Put confirmations in the right order
First verify the intended destination or discharge arrangement, then the travel itinerary and the ground support level. A vehicle booking alone does not confirm hospital acceptance or airline approval. If a clinician requests oxygen or monitoring, relay that requirement accurately to the transport provider for feasibility confirmation.
Write a one-page handover brief
Include the route, flight details, pickup and drop-off contacts, mobility and equipment requirements, companions, luggage and a fallback for delays. Share detailed medical records only directly with parties who need them, through an appropriate channel, after confirming the recipient.
Define who updates whom
A flight delay, discharge postponement or hospital change can invalidate a pickup time. Agree who alerts the provider, whether the vehicle can wait, and when a revised quote or clinical reassessment becomes necessary. For emergencies, contact local emergency services.
Useful details for a first enquiry
- The family decision maker's name, phone and time zone
- Route, intended travel date and flight if already booked
- Whether departure and receiving institutions have confirmed the plan
- A brief description of support and a local contact, if available
A route and support summary is enough to start; discuss detailed records directly by email with the coordinator.
