Describe the journey in parts
A medical return may include sending-hospital discharge, onboard escort or specialist transport, arrival airport handover, road transfer and receiving-hospital admission. Ask which entity approves and pays each segment instead of seeking one ambiguous “approval for the trip”.
Check the hospital decision independently
A payer’s pre-authorisation is not a receiving bed. The chosen facility must decide whether the proposed admission and timing can be accepted. Likewise, a hospital invitation does not mean the flight is clinically suitable or approved by the carrier.
Get the road provider’s information early
A defined pickup point, patient support level, vehicle and staff, waiting window, destination and quotation enable the payer or assistance desk to approve the China ground leg. Any unsupported assumption in the quote may lead to a mismatch on arrival.
Record expiry and change conditions
Approvals can have named dates, limits and providers. A delayed flight, revised medical support requirement or changed destination may require updated documents; name a decision maker reachable across time zones before departure.
