Start with the real airport and direction

Provide the airport code, flight and whether the patient is arriving or leaving. The airline’s terminal assistance ends at its own boundary; a ground provider may meet only at a specified public-side location. An airport-to-hospital journey can differ from a hospital-to-airport discharge because the former may depend on arrival processing and receiver readiness, while the latter depends on ward release and airline check-in. Quote waiting against a defined trigger such as actual flight landing or confirmed discharge, not a vague “airport transfer” label.

The support drives the vehicle

Describe whether the person can sit, transfer with assistance or requires a stretcher, and whether a clinician has specified oxygen or observation. Ask the actual operator what crew, vehicle and equipment it can provide for that route. A price for an ordinary passenger car cannot be compared with a clinical crew proposal, and a wheelchair vehicle is not automatically an ambulance. Include family seats, luggage and mobility aids; a seemingly suitable vehicle may not hold two large suitcases beside equipment. No public price should be presented as a confirmed patient quote.

Endpoints and change charges

State whether pickup is at public arrivals, a terminal curb, a hospital entrance or a ward, and whether the provider delivers to a door, reception or receiving unit. Access and lifting tasks change staffing and time. Ask about flight-delay waiting, cancellation after dispatch and a changed destination or airport. A hospital accepting the patient and an insurer accepting a bill are separate decisions; the ground quote should identify its own payer. Use the first enquiry to give route and support, with clinical records exchanged privately after a named provider is assessed.

Price the handover point

A public arrivals pickup, ward collection and a permitted aircraft-side exchange have different personnel, permissions and elapsed time. State the exact handover location before comparing road quotes. If the operating airline will escort the traveller to a public meeting point, avoid charging for a duplicate restricted-area task. If a hospital discharge is late, waiting may start before road travel; ask where the clock begins. Wheelchair handling, oxygen during terminal transitions and a companion seat must be separately confirmed, not inferred from a mileage estimate.

Decision pathway

Compare quotes with the same airport, endpoint, support and waiting assumption. If airline clearance or hospital acceptance is pending, keep a conditional reservation and recheck provider availability before dispatch.
