Insurance approval for the China ground leg of a repatriation

An insurer may commission the flight while the local ambulance and receiving costs need separate written approval.

Identify the payer and case manager

Ask whether the contracting party is the insurer, its assistance company, an overseas employer or the family. Note the claim reference and the person authorised to accept a China-side quote. A flight approval does not itself establish payment approval for local ground services.

Quote the local segment separately

Specify airport or hospital pickup boundary, receiving destination, vehicle and staff, oxygen or other equipment, waiting period, accompanying people and any additional charges. The case manager can then match the quote to the coverage decision. Do not promise insurance reimbursement.

Agree what evidence the payer expects

Ask whether the assistance desk requires dispatch confirmation, pickup timestamp, receiving signature or invoice details. Information shared with the insurer should follow the case’s permissions and privacy arrangements. Do not post identifiable medical records to the website.

Plan for a changed itinerary

A delay, changed facility or higher clinical support level can require a revised quote and new approval. Record who can approve additional cost at night or across time zones before dispatch rather than negotiating after the vehicle has left.
