Name the planned hospital event
Separate a first consultation, review of records, examination booking and inpatient admission. Ask the hospital which of these it has actually accepted and who owns the next step. A request for more records is not admission approval; a consultation slot is not a reserved bed. Record the department, contact, location, local date and any conditions still open. For a patient travelling from Singapore or elsewhere, departure location alone does not establish nationality, visa position or eligibility for treatment.
Prepare a reviewable clinical pack
Ask the receiving team which referral, recent summary, reports, images and medication list it needs for this specific request. Confirm file format, translation language and secure delivery route; do not send everything to multiple addresses without a purpose. Use consistent identity details across records and travel documents, explaining any name discrepancy through the proper process. Keep a list of items sent, the hospital’s acknowledgement and questions awaiting the treating clinician. A translated report does not constitute a new medical opinion.
Keep immigration documents in a separate workstream
Check the responsible Chinese mission or visa centre for the traveller’s nationality, residence and application location. Hospital-issued material may support an application, but neither a coordinator’s itinerary nor a hospital letter guarantees a visa or entry. Verify what the actual issuing hospital can provide and what the relevant authority requests before promising a departure date. Companion requirements may differ from the patient’s. The linked visa-planning page explains how to organise that comparison without imposing one country’s checklist worldwide.
Resolve payment before treating the itinerary as ready
Clarify who receives the estimate, who authorises expenditure and who pays the hospital and local services. If insurance or a GOP is proposed, identify its issuer, recipient, scope and outstanding approval. A policy card is not proof that this admission can be directly billed. Ask which deposit or payment confirmation is required for the intended hospital event and how excluded items or changes are handled. Avoid sending confidential financial detail to unnecessary parties; the admission/payment hub provides the coordination framework.
Link arrival to a receiving person, not just an address
For a same-day appointment or admission, confirm what happens if the flight is late and whom the transfer team contacts. Identify mobility, positioning, equipment, companion and luggage needs before choosing transport. If accommodation comes first, ask whether it can support the practical needs described; a room reservation is not a clinical-care arrangement. Prepare a concise handover pack for the authorised receiving contact, with medication and equipment questions resolved through their separate processes.
Close the loop with discharge and follow-up
Ask who will supply the discharge summary, prescriptions, follow-up instructions and records needed for onward care. Travel after treatment may require a new clinical assessment and airline acceptance; do not fix the return plan solely from the original booking. At first enquiry send the intended hospital event, city, provisional dates, hospital contact status, mobility needs, payer route and companion arrangement. ChinaMedTransfer can coordinate the document and local-service interfaces, without guaranteeing hospital acceptance, appointments, benefits or visa outcomes.
