From first enquiry to China medical transfer handover

1. Send a short operational summary

A first message can be brief: where the patient starts, the intended destination in China, the date or flight number, whether they can sit or walk, support requested by their clinician, companions and a contact who can answer on travel day. The description helps identify what needs further assessment. Do not include identifying medical records in a public webpage.

2. Identify what is confirmed and what is still open

We distinguish the sending team’s clinical advice, carrier permission to travel, airport meeting arrangements, receiving-facility acceptance and ground provider availability. These are different decisions. If the hospital is still reviewing a referral or the airline requires a medical form, we record that as open instead of describing the itinerary as already booked.

3. Define the exact service boundary

A hospital name and an airport code are not enough. The proposal needs a permitted pickup location, the person who brings the patient to that point, the point where local responsibility begins, and the person who receives the patient at the other end. Ward access, airside access and boarding-gate accompaniment require separate permission and should never be inferred from a transfer quote.

4. Check a ground option against the assessed need

For a patient who can ride seated without clinical support, an ordinary accessible transfer may be sufficient. A request for oxygen, stretcher or monitoring requires a different provider assessment. The treating team determines clinical requirements; the local provider confirms what equipment, staff and capacity it can actually supply. Any change in the patient’s condition should be referred back to the responsible clinicians.

5. Confirm written details before dispatch

A workable booking records route, date, pickup window, vehicle and personnel, equipment, companion and luggage capacity, expected handover, total charge, waiting and cancellation terms, and phone contacts. If the hospital changes the release time or a flight is delayed, one nominated person should notify every affected party.

6. Complete the handover and retain the agreed record

The local team should know who receives the patient and where. An assistance desk may also need a completion update under its own case protocol. This page describes the questions to settle; it does not promise that any particular route, clinical team, airport access or hospital admission is available before a case-specific confirmation.

Is the medical escort on the aircraft included?

No general inclusion. Air travel and China-side ground service are separate scopes and must be expressly agreed.
