Start with route and timing
State whether this is an arrival in China, departure from China or a domestic connection within a wider medical journey. Give the city, airport if known, pickup point, destination and intended date. For a booked flight, include flight number and local arrival or departure time. For an unbooked flight, say which options are still being considered. A proposed date is useful; it must not be presented as a confirmed itinerary.
Describe practical support without self-prescribing
Tell us whether the traveller can sit for the intended journey, walk short distances, transfer between seats and manage steps. If the treating team has requested oxygen, positioning, monitoring or an escort, identify that requirement without choosing a clinical setting yourself. State which equipment is expected to travel and which team supplies it. If support is not yet assessed, mark it unknown so a suitable clinical confirmation can be sought.
Show whether someone can receive the traveller
For a hospital, identify whether you have a preference, a contact reviewing the request, or an accepted receiving arrangement. For home or care accommodation, identify the receiving person, access constraints and planned support on arrival. This is not a request to publish the patient’s address or records online. The relevant details are confirmed directly when required for the assignment.
Identify people and payment decisions
Give one reachable main contact, their relationship or professional role, time zone, escort and companion numbers, and luggage needs. Say who expects to pay and whether insurance, an assistance organisation, employer or family must authorise cost. You can leave the payer route undecided. An insurance policy or proposed guarantee is not proof that a provider will accept direct billing.
What happens after the first message
The initial information is used to identify missing confirmations and scope a feasibility discussion or quote. If the airport handover, support level or receiver is not ready, those become explicit next steps. Sending the checklist does not book a vehicle or accept a clinical transfer. Keep detailed records, identity documents and payment credentials out of public forms; agree the authorised follow-up exchange for any necessary documents.
