Provide the operational skeleton
Send city, airport or sending facility, specific pickup boundary, destination, date and flight, hospital reception status, mobility, clinician-requested equipment, companions and luggage. If any detail is pending, label it as pending instead of presenting an incomplete request as ready for dispatch.
Identify the authority chain
The assistance desk may coordinate for an insurer, employer or other principal. Name who authorises the proposed service and who will pay the China ground provider; a GOP addressed to the hospital may not be sufficient for the road operator.
Specify handover and reporting
Ask who delivers the patient to the vehicle and who receives them. Decide whether the desk needs a dispatch notice, pickup confirmation, completion timestamp, signed handover, itemised invoice or incident escalation. Share patient records on the agreed private channel only.
Plan disruption across time zones
Give a daytime and after-hours case contact who can approve revised waiting, equipment, destination or costs. We can assess the local assignment but vehicle, personnel and hospital acceptance are confirmed case by case.
